Privacy policy

1. Controller
The controller responsible for data processing is KoderRun, sole proprietorship owner Peter Engelhard. Contact details are available in the imprint section.
2. Data We Process
Depending on how you use the app, we may process the following categories of personal data:
• Account & profile data: email address, display name, optional profile image, authentication provider
• Event & community data: events you create/join, votes, groups, follows, in-app interactions
• Meeting point data: location name and coordinates for events
• Feedback & reputation data: host ratings and punctuality/ghosting reports about participants (if you use the feedback feature)
• Notification data: push tokens (Expo/FCM/APNs), web push subscriptions (endpoint + keys), optional browser user agent for web push, notification preferences
• Media & attachment data: optional profile images, chat attachments, and support attachments that you upload
• Calendar / scheduling data: optional calendar IDs and appointment references if you use calendar features
• Subscription / purchase data: if subscriptions or purchases are offered/used, billing status, entitlement information, and transaction-related identifiers
• Device/technical data: device/OS information, language, app version, local identifiers, and network-related data (e.g., IP address) that are technically necessary for providing the service
3. Purposes
We process data in particular for:
• providing the app and its core functions (accounts, events, voting, groups)
• enabling nearby-events features and location selection (optional)
• sending notifications (push/web push, and optionally email)
• enabling sharing links and preview images (e.g., for messengers/social media)
• enabling calendar features (optional)
• enabling optional support requests including attachments
• enabling optional subscriptions / premium functions and purchase verification
• security, abuse prevention, and service reliability
4. Legal Bases
Processing is based on:
• Art. 6(1)(b) GDPR (contract/performance) – providing the app features you request
• Art. 6(1)(a) GDPR (consent) – e.g., location access, push permissions, calendar access (depending on platform)
• Art. 6(1)(f) GDPR (legitimate interests) – security, preventing misuse, and operating a stable service
• Art. 6(1)(c) GDPR (legal obligation) – where retention or tax/accounting obligations apply
5. Provision of Data and Permissions
You are generally not required to grant optional permissions. However, certain functions only work if you provide the necessary data or grant the relevant permission, for example location access for nearby functions, photo library access for profile or attachment uploads, calendar access for calendar export, or notification permission for push delivery.
6. Recipients / Service Providers
We use service providers to operate the app. Depending on the feature, data may be processed by:
• Supabase (authentication, database, file storage, serverless functions)
• Expo / EAS (app runtime, OTA updates, push infrastructure)
• Apple / Google / X (OAuth login, depending on the provider you choose)
• Map providers (platform map SDKs such as Apple Maps / Google Maps; plus map tile requests)
• Photon (Komoot) and Nominatim / OpenStreetMap for forward/reverse geocoding when you search/select locations
• Resend for transactional or notification emails, if email notifications are enabled
• RevenueCat and, depending on platform, Apple / Google for subscription/purchase management and verification
• App Store / Google Play as independent controllers for platform-related processing such as app distribution, store accounts, and potentially payments handled by the platform
We do not sell your data and we do not use it for third-party advertising.
7. International Transfers
Some service providers may process data outside the EU/EEA or in countries without an adequacy decision. In such cases, processing should take place only on the basis of applicable safeguards, for example EU standard contractual clauses, where required.
8. Retention
We store personal data as long as it is necessary for the respective purpose or as long as your account is active. You can delete your account in the app settings. After deletion, we delete or anonymize personal data unless legal retention obligations apply. Some event-related data may remain visible to other users as part of shared content unless it is deleted or anonymized.
9. Your Rights
Under the GDPR, you have the following rights:
• Access: Information on which data we store about you
• Rectification: Correction of inaccurate data
• Erasure: Deletion of your data ("right to be forgotten")
• Restriction: Restriction of processing
• Data portability: Export of your data
• Objection: Objection to processing
• Complaint: To a supervisory authority
You can delete your account directly in the app settings.
10. Location, Maps & Geocoding
Location access is optional. If you grant location permission, we may use your device location to help you select a meeting point or configure nearby event notifications. We do not continuously track your location. If you use location search or reverse geocoding, requests may be sent to Photon (Komoot) and/or Nominatim / OpenStreetMap and include your search terms and/or coordinates along with technical data (e.g., IP address). Depending on platform, map rendering may also involve Apple Maps or Google Maps services.
11. Notifications and Communication
If you enable notifications, we process push tokens (native) and/or web push subscriptions (web/PWA) to deliver notifications about events and social activity. Notification preferences are stored locally on your device and may also be stored in our database linked to your account so they can be applied across devices. For web push, technical subscription data and, where applicable, browser-related metadata may also be stored. If email notifications are enabled, the relevant email delivery provider processes the email address and message metadata necessary for delivery.
12. Calendar, Photos, Chat & Support Attachments (Optional)
If you use the calendar feature, the app may request calendar access to create or update a run appointment on your device. If you upload a profile image or attachments, the app may request access to your photo library. Uploaded media are stored on our servers and may be displayed to other users inside the app where required by the feature (for example profile images or chat attachments) or processed as part of support communication. Depending on the feature design, attachment URLs may be retrievable by authorized users or, in some cases, by anyone who has the link.
13. Sharing Links & Previews
When you share event links, third-party apps/services (e.g., messengers or social networks) may retrieve preview information (e.g., an image) from our web endpoints. If you share a link, it can be forwarded to others and may be accessible publicly.
14. Local Storage, Web/PWA, and Updates
The app uses local storage (e.g., SecureStore, AsyncStorage, localStorage) for:
• Login/session data (session token)
• App settings
• Notification preferences and scheduled reminders
• Favorites, onboarding status, temporary cache data, and web push/web app state
If you use the web app / PWA, browser storage and service-worker-related technology may be used for core functionality and notifications. The app also uses OTA update infrastructure (Expo Updates / EAS Update) to deliver app updates.
15. Subscriptions / Purchases
If subscriptions or paid features are offered and used, purchase-related processing may take place via the platform provider (Apple / Google) and RevenueCat. We generally do not receive full payment card details, but we may process entitlement status, subscription state, product identifiers, and transaction-related references necessary to unlock and manage app features.
16. Contact
If you have questions regarding data protection, please use the contact details provided in the imprint section.
Terms of use
Last updated: March 2026
1. Scope
These terms of use apply to the use of the KoderRun app. By registering or using the app, you accept these terms.
2. Service Description
KoderRun is an app for organizing group running events. Users can:
• Create and manage running events
• Join events and vote
• Connect with other runners
• Form running groups
3. Accounts
Registration is required for certain features (e.g., creating events or voting). You are responsible for:
• The accuracy of your information
• The security of your password
• All activities under your account
Guest usage may be possible with limited functionality.
4. User Conduct & Content
When using the app, you agree to:
• Not create false or misleading events
• Not distribute offensive or discriminatory content
• Respect the rights of other users
• Not misuse the app for commercial purposes
• Not perform technical attacks or manipulations
5. Content and Intellectual Property
The app and its content are protected by copyright. Content created by you (events, texts, images) remains your property; however, you grant us a non-exclusive license to store, display and make it available within the app as required for the service.
6. Events, Safety, and Liability
Important notice: KoderRun provides tools for coordinating events. Events are organized by users. Participation is at your own risk. Please assess your health and comply with local laws and rules.
We are liable without limitation for intent and gross negligence and for injury to life, body or health. In case of slight negligence, we are only liable for the breach of essential contractual obligations and limited to foreseeable, typical damages. Further statutory liability rules remain unaffected.
7. KoderRun Pro (subscriptions)
In addition to free features, KoderRun offers an optional paid subscription, "KoderRun Pro". The scope of Pro features is as shown in the app at the time of use. We may develop the product further or adjust individual benefits where reasonable for you and with appropriate notice where required.
Plans and pricing: Subscriptions are available as monthly or yearly plans. Applicable prices, billing periods, and conditions are displayed before purchase in the app or on the website and may differ by channel (Apple App Store, Google Play, web). Web offers may be priced lower than store offers; the price shown at checkout applies.
Contracting parties and payment processing: For purchases via Apple or Google, the respective platform provider is your contractual partner for the payment transaction. For web subscriptions, payment is processed by our payment service provider (Stripe); subscription status and entitlements are provided and checked using RevenueCat (and linked to your KoderRun account / user ID).
Auto-renewal and cancellation: Unless you cancel in time, subscriptions renew for the selected term. You can cancel in the subscription management of the App Store, in Google Play, or— for web—via the management or customer portal functions made available there (e.g. Stripe Customer Portal), where available. Deleting your KoderRun account does not automatically cancel an active store or web subscription; you must cancel separately with the respective provider.
Free usage limits: Certain actions (for example creating selected premium-type events) may be usable free of charge up to a limit shown in the app; the exact quota is displayed in the product.
Payment issues: If renewal fails or payment is declined, Pro features may be limited or disabled until a valid entitlement is restored. Statutory rights (including consumer withdrawal where applicable) remain unaffected. Additional terms of Apple, Google, Stripe, or other providers may apply.
8. Availability
We strive for high availability of the app but cannot guarantee uninterrupted service. Maintenance work will be announced where possible.
9. Changes
We reserve the right to modify these terms of use. Material changes will be communicated to you. Continued use constitutes acceptance of the updated terms.
10. Termination
You may delete your account at any time in the settings. We reserve the right to suspend or delete accounts that violate these terms.
11. Governing Law
German law applies. To the extent permitted by law, place of jurisdiction is the registered office of KoderRun.
